Trade Show Manager and Conference Administrator

Reports to SVP of Events:

Managerial Responsibilities:

  • Complete ownership + responsibility for overall trade show participation. This includes:
    • Acting as Team Captain of the booth on site where needed
    • From start to finish – shipping, set up, teardown and booth duty for vertical shows where needed.
    • Working directly with the marketing department to decide on a strategic level all sales collateral needed for individual shows.
    • Perform regular inventory updates of exhibit materials and update as needed.
    • Solidify trade show housing for staff – working with Editorial Director and Publisher.
  • Maintain and manage event budgets and assist accounting with event reconciliation.
  • Managing one indirect report with dotted line responsibility

Administrative responsibilities:

  • Act as a conference administrator for our executive summits. This includes:
    • Research and assist in the selection of event locations and vendors for all aspects of the event
    • Coordinate with hotels and other venues for meeting space, room set ups, food & beverage, audio/visual, etc.
    • Attend Networld Events and perform on-site as needed (logistics, attendee and sponsor relations)
    • Communicate with sales team to ensure all sponsorships details are in place for execution
    • Maintain a task list to events with deadline dates and person (s) responsible
    • Assist in research event locations
    • Participate in customer calls when the subject of those calls are to review logistics related to event sponsorship.
    • Maintain event speaker folders: gather photos, speaker arrangements and keep speakers up to date all on relevant information pertaining to their participation in a NMG event.
  • Assist the SVP of events as needed on all NMG summits.

This position is will work out of our home office in Louisville, Kentucky.  A college degree and 3-5 years of relevant experience is preferred.
